Privacy Policy

BooksCheckup is a tool for small business owners. We take your financial data seriously — so this policy is written in plain English, not legal jargon. Here's exactly what we collect, what we do with it, and what we don't do with it.
What we collect
We collect only what's necessary to run the service. Here's the full list:
- Your QuickBooks export files: You upload up to five spreadsheet files (.xlsx) — a Trial Balance, Profit & Loss, Chart of Accounts (all required), and optionally a P&L by Month and A/R Aging Summary. These are processed immediately and deleted right after your analysis runs. We don't store them. We don't look at them. No human at BooksCheckup reads your files.
- Your email address: Only collected if you purchase the Fix Guide ($49). We use it to send you the report. It's entered via Stripe's secure checkout — we never see your raw payment details.
- One optional business question: At checkout, we ask whether your business is in food service, hospitality, or beauty. Your answer is used only to tailor the analysis in your Fix Guide. It is not stored after the report is generated and is never shared or sold.
- Standard server logs: Like every web service, our hosting provider (Vercel) automatically captures basic technical data like IP addresses and browser type. This is used for security and reliability purposes only.
How we use it
We use your data for one purpose: delivering the service you asked for.
- Your files: Run the automated analysis and generate your Books Health Score and (if purchased) your Fix Guide. Then deleted.
- Your email: Send you the Fix Guide you paid for. That's it. We don't use it for marketing unless you separately opt in.
We do not sell, rent, or trade your data. Ever.
Third-party services
We use a small number of trusted services to operate BooksCheckup:
- Stripe: Handles all payment processing. When you pay, you're entering your card details directly into Stripe's secure form — we never receive or store your payment information. Stripe's privacy policy is at stripe.com/privacy.
- Resend: Delivers your Fix Guide to your inbox. Your email address is passed to Resend solely for this purpose.
- Vercel: Hosts the BooksCheckup application. Standard server-level logging applies per Vercel's data practices.
None of these providers are authorized to use your data for their own purposes beyond what's needed to perform the service.
Data retention
- Uploaded files: Deleted immediately after analysis. Not retained.
- Business category answer: Deleted after the Fix Guide is generated.
- Email address: Retained for a reasonable period in case there's a delivery issue with your Fix Guide, then removed. Not used for any other purpose.
Your rights
You have the right to ask what data we hold about you and to request its deletion. Since we collect very little and retain even less, in most cases there won't be anything to delete. If you have questions or requests, email us at contact@bookscheckup.com.
Children's privacy
BooksCheckup is a business tool intended for adults. We do not knowingly collect data from anyone under 18.
Changes to this policy
If we make meaningful changes to this policy, we'll update the date at the top. Since there are no user accounts, we can't notify you directly — so check back if you're curious.
